  • Contact details: name, address, email address and telephone number.
  • Order and transaction data: products ordered, order number, order value, billing and shipping address, and information relating to order, payment, shipping and refund status.
  • Communication and customer service data: messages, support requests, returns, complaints and other correspondence.
  • Usage and device data: IP address, browser, device, page views, timestamps and interactions with our online store.
  • Marketing and consent data: newsletter subscriptions, marketing preferences and consents that have been given or withdrawn.
  • Review data: information you provide in connection with voluntary product or merchant reviews.
  • B2B and business information: when you submit a B2B enquiry or use a business customer account, we may also process information about the company, its business activities, business address, contact person, that person's role within the company, intended or existing sales channels and other information required to assess a B2B application or manage the business relationship.
  • Information relating to B2B applications and approvals: information provided as part of an application for the B2B Wholesale Program, as well as information concerning the review, approval, rejection or management of a business customer account.
  • B2B order and commercial terms data: information relating to the B2B product range available to the account, applicable prices and terms, order history and payment and fulfilment status.
  • Information used to assess payment terms: where individual payment terms may be available to business customers, we may take into account previous order and payment history, the proper completion of earlier orders and other information relevant to the business relationship.

We collect and process only the personal data that is necessary for the relevant purposes or that you voluntarily provide to us.

Where personal data relating to employees, contact persons or other representatives of a company is provided as part of a B2B enquiry, the company submitting the enquiry is responsible for ensuring that it is entitled to provide that data and that, where required, the individuals concerned have been informed about the disclosure.

We ask that only accurate information that is necessary for assessing or managing the business relationship be provided in connection with B2B enquiries. Incorrect, incomplete or improperly used information may result in a B2B application not being processed, being rejected, or a business customer account being restricted or terminated where legally permitted.

4. Purposes and legal bases for processing

We process personal data in particular for the following purposes:

  • Contract performance: orders, payments, deliveries, returns, refunds and customer accounts.
  • Communication and customer service: support, enquiries and notifications concerning orders or business relationships.
  • B2B enquiries and business customer relationships: receiving and reviewing B2B applications, communicating with prospective business partners and establishing, managing and carrying out professional business relationships.
  • Assessment and approval of business customer accounts: assessing whether the requirements for a professional B2B relationship are met, and activating and managing the relevant business customer access.
  • B2B product ranges and commercial terms: providing and managing the product ranges, prices, minimum order values and other commercial terms available to the relevant business customer account.
  • Assessment and management of payment terms: where special or individual payment terms may be available to business customers, we may internally assess the information required for such a decision and manage, adjust, suspend or withdraw any terms granted.
  • Reviews and customer feedback: where you voluntarily participate in a review programme.
  • Operations and security: operating the store, troubleshooting, IT security and preventing fraud and misuse.
  • Improvement of our services: analysing usage and optimising our offering.
  • Marketing: newsletters, advertising and personalised content where legally permitted and where any required consent has been obtained.
  • Legal obligations: including accounting, tax, record-keeping, customs and regulatory obligations.
  • Establishment and enforcement of legal rights: establishing, exercising or defending legal claims.

Where the GDPR or UK GDPR applies, we rely in particular on steps taken prior to entering into a contract, performance of a contract, compliance with legal obligations, legitimate interests or, where required, your consent.

For B2B enquiries, pre-contractual steps may include reviewing a business enquiry, communicating about a potential business relationship and preparing a business customer account.

Our legitimate interests may include the secure and efficient operation of our online store, preventing fraud and misuse, assessing and managing professional business relationships, improving our services, providing customer service and establishing, exercising or defending legal claims.

Where consent is required, it is obtained voluntarily and may be withdrawn at any time with effect for the future.

5. Recipients and service providers

To operate our online store and provide our services, and to manage B2C and B2B business relationships, personal data may be disclosed to service providers and other recipients. These may include in particular:

  • E-commerce platform and hosting: Shopify.
  • Payment service providers: e.g. TWINT, PayPal, PostFinance, credit card processors and other payment providers.
  • Shipping and logistics: in particular Swiss Post and, where applicable, other shipping providers.

  • Email and communication services: e.g. Klaviyo.

  • Public authorities or other bodies: where disclosure is required by law or necessary to protect or enforce legal rights.

We disclose personal data only where this is necessary for the purposes described above, permitted or required by law, or based on any consent that may be required.

B2B data is not disclosed to third parties for an independent credit check merely because a business participates in the B2B Wholesale Program. If external credit agencies or business information services are used in the future, this Privacy Policy will be updated accordingly where required.

6. International data transfers

The service providers we use may process personal data in Switzerland, the European Economic Area (EEA), the United Kingdom and other countries.

Depending on the service used and its subcontractors, data may in particular be transferred to or processed in Ireland or other EEA countries, the United Kingdom, Canada and the United States.

Shopify processes data relating to European and Swiss users, among other things, through its European entity in Ireland and may transfer data within its global infrastructure, including to Canada and the United States. Other service providers we use, particularly marketing, analytics and communications providers, may also process data outside Switzerland.

Where personal data is transferred to a country that does not benefit from a legally recognised adequate level of data protection, we use appropriate legal safeguards where required. These may include recognised standard contractual clauses, binding corporate rules, recognised data protection frameworks or other safeguards provided for by law.

Further information about the recipient countries and safeguards relevant to a particular service can be requested at info@swissdentalwellness.ch.

7. Cookies and similar technologies

We use cookies and similar technologies to provide essential functions of our online store, maintain security, analyse usage and, where permitted by you, enable marketing and personalisation features.

This may apply both to the general B2C area and to areas made available to registered or approved business customers.

Non-essential cookies or similar technologies for which consent is required under applicable law are used only after you have made the corresponding selection through our consent or cookie banner.

You can change your preferences or withdraw consent at any time through our cookie settings.

8. Web analytics and marketing tools

For analytics, security and optimisation purposes, we may use services such as Shopify Analytics, Google Analytics or Meta Pixel.

These services may process information including usage data, IP and device data, page views, interactions and information relating to purchases and conversions.

Where consent is required for such processing under applicable law, the processing will take place only after you have given your consent. You may withdraw your consent at any time with effect for the future through our cookie settings.

8a. Google Customer Reviews

We participate in the Google Customer Reviews programme. After completing an order, you may be offered the opportunity on the order confirmation page to voluntarily participate in a Google survey about your shopping experience.

If you agree to participate, the order information required to operate the programme will be provided to Google. This may include in particular your email address, order number, delivery country and estimated delivery date. Where required for the relevant function, product-related information such as product identifiers may also be provided.

Google may send you an email after the estimated delivery date inviting you to review your shopping experience. Participation is voluntary.

Technical identifiers, cookies or similar technologies may be used in connection with Google Customer Reviews.

Further information is available in Google's Privacy Policy .

9. Product and merchant reviews

If you voluntarily submit a product or merchant review, the information you provide as part of that review, together with order, contact or technical information required to associate or verify the review, may be processed by us or by review services used by us.

In particular, we may use Judge.me for this purpose. Depending on the selected functionality, reviews may be published on our website or on platforms operated by the relevant review provider.

Publication takes place in accordance with the information you provide, the settings of the relevant service and the applicable legal requirements.

10. Data retention

We retain personal data only for as long as necessary for the relevant processing purposes or for as long as statutory retention obligations apply.

The specific retention period depends in particular on the type of data, the purpose of the processing, contractual requirements, statutory retention obligations and possible legal claims.

Data relating to ongoing B2B business relationships may in particular be retained for as long as necessary to manage and carry out the business relationship, comply with statutory record-keeping obligations or protect legal rights.

If a B2B application is not accepted or no business relationship is established, personal data collected as part of the application will be retained only for as long as necessary to process the application, document the decision, respond to possible follow-up enquiries or protect legitimate interests and comply with legal obligations.

Once the relevant retention period has expired, the data will be deleted or anonymised unless another legal basis requires or permits continued retention.

11. Your rights

Depending on the applicable data protection law, you may in particular have the following rights:

  • access to information about the processing of your personal data
  • correction of inaccurate or incomplete personal data
  • deletion of personal data where the legal requirements are met
  • restriction of certain processing activities where provided by law
  • objection to certain processing activities where provided by law
  • data portability where provided by law
  • withdrawal of consent with effect for the future

Where provided for under the applicable data protection law, these rights may also apply to natural persons whose data we process in connection with a B2B business relationship, such as business owners, employees, contact persons or representatives of a company.

To exercise your rights, please contact: info@swissdentalwellness.ch.

Individuals in Switzerland may also contact the Federal Data Protection and Information Commissioner (FDPIC) in relation to data protection matters.

Where the GDPR applies, you also have the right to lodge a complaint with the competent data protection supervisory authority. Where the UK GDPR applies, individuals may contact the Information Commissioner's Office (ICO).

12. Changes to this Privacy Policy

An update may in particular be required if we introduce new service providers, payment or verification procedures, sales channels or other functions.

The current version of this Privacy Policy is available on our website at all times.
